Creating Your Account

Karomia is invite-only. You will receive an email invitation from a colleague or from the Karomia team before you can sign in.

1. Receive your invite

When someone adds you to a Karomia workspace, you will receive an email invitation. Click the link in the email to begin setting up your account.

Invitation links expire after a set period. If your link has expired, ask your administrator to resend the invitation.

The invitation email may land in your spam or junk folder — check there if you do not see it in your inbox.

If it is not there either, your organization's email security settings may be blocking messages from karomia.eu. Ask your IT team to whitelist the karomia.eu domain so future emails are delivered correctly.

2. Log in and set your password

On first login you will be prompted to set a password.

Password requirements

Choose a strong password that:

  • Is at least 8 characters long.
  • Includes a mix of uppercase and lowercase letters, numbers, and symbols.
  • Is not reused from other services.

Forgot your password?

If you have forgotten your password:

  1. Go to the sign-in page.
  2. Click Forgot password.
  3. Enter your email address.
  4. Check your email for a reset link.
  5. Follow the link to create a new password.

The password reset email may also land in your spam or junk folder. If it is not there either, ask your IT team to whitelist the karomia.eu domain.

The reset link is only valid for a limited time. If the link no longer works, simply go back to the sign-in page, click Forgot password again, and request a new one.

3. Set up Multi-Factor Authentication (MFA) — optional

During registration, you will be prompted to set up MFA or skip it. If you choose to enable it:

  1. Follow the enrollment steps to set up your authenticator app.
  2. Store your recovery codes in a safe place.

Once enabled, you will need to provide a verification code from your authenticator app each time you sign in.

Keep your MFA recovery codes in a secure location. If you lose access to your authenticator app and do not have your recovery codes, you will need to contact support to regain access to your account.

4. Single Sign-On (SSO) — optional

If your organization uses SSO, your authentication is managed through your corporate identity provider:

  1. On the sign-in page, select the SSO option.
  2. Enter your organization's SSO details.
  3. Authenticate through your identity provider.
  4. You will be redirected back to Karomia.

Contact your IT administrator for SSO-related questions.

5. Access to multiple organisations

Some users manage or collaborate with more than one organisation in Karomia — for example, consultants supporting multiple clients, or users who belong to several partner organisations.

If you have been invited to more than one organisation:

  • Use the organisation selector in the navigation bar to switch between organisations.
  • All content will update to show data for the selected organisation.
  • You may have different roles across different organisations.
