Goal

Give the AI the company-specific context it cannot find online, so that your IROs reflect your business and not a generic version of your sector.

Introduction​

The Karomia AI builds your IROs from two pools of information:

  • Public sources: your website, your published reports, sector benchmarks, publications of your value chain partners, regulation. The AI collects these itself.
Optional: validate your value chain

From the documents you upload, Karomia maps your value chain: what sits upstream, in your own operations and downstream. Reviewing and validating that map before the IROs are generated makes them noticeably more accurate, because every IRO is written against an activity on it. See Review your value chain map.

  • Your internal documents: everything that is not public, or that you want the AI to prioritise.

Your documents shape the result. A strategy document on a small activity will produce IROs on that activity. Not uploading your risk register means the AI will not know your top risks. Every IRO lists the documents and sources it was built on, so you can trace the link afterwards in the IRO passport.

Steps​

Step 1: Upload internal documents​

Upload PDF, Word, Excel or PowerPoint files. You can upload many files at once and come back over several sessions. Nothing is processed before you click Generate IROs.

The most valuable documents, in order:

  1. A previous materiality assessment, single or double, in any format.
  2. Annual report, sustainability or impact report.
  3. Enterprise risk register and risk management reports.
  4. Policies: code of conduct, environmental, health and safety, human rights, procurement, data protection.
  5. Carbon footprint, energy audits, waste and water reports, life cycle assessments.
  6. HR data: engagement surveys, training overview, diversity and inclusion reporting, incident statistics.
  7. Supplier assessments, supplier code of conduct, customer satisfaction surveys.
  8. Board and shareholder minutes that discuss sustainability, compliance and audit reports.
tip

If you hesitate whether a document is relevant, upload it. The AI sets aside what it does not need.

Name your files clearly. The documents you used are listed in the methodology section of your DMA report, and "0125_final_v3.pdf" says nothing to a reader.

Documents already in your Karomia document library, for example the ones used for your sustainability report, can be linked instead of uploaded again.

Step 3: External documents (optional)​

You no longer need to collect sector studies, regulation or NGO reports. The AI pulls public sources itself. Upload an external document only when you want the AI to give it priority, for example a sector materiality study your peers rely on, or a client's sustainability report that defines expectations for suppliers.

Step 4: Add documents later​

You can add documents after generation when a colleague surfaces a new source. New documents are not analysed automatically. Ask us through the chat and we will run a check for new IROs against the ones you already have.

Confidentiality​

Your documents are used only for your assessment. They are not shared and are not used to train models. Respondent data from surveys and interviews is stored in Karomia as well; see How to send surveys for what respondents are asked to share.

Output​

  • Your documents attached to the assessment and listed in the methodology section of your DMA report.
  • The evidence base the AI writes your IROs from: every IRO names the documents and sources behind it.
